(“V Sports,” “we,” “us,” or “our”) is a Canadian sport tour company that organizes and operates international sport travel programs for athletes, clubs, schools, sport organizations, and adult teams. We are committed to protecting the privacy and personal information of everyone who interacts with our website, registers for our programs, or uses our services.
This Privacy Policy explains what personal information we collect, why we collect it, how we use and disclose it, how we protect it, and what rights and choices you have with respect to your information. It applies to all personal information collected through our website at www.vsportsinternational.com (the “Site”), through our Athlete Recruitment Platform, and in connection with any V Sports program or service.
V Sports International Inc. is subject to the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. We are committed to meeting the ten fair information principles established under PIPEDA: accountability, identifying purposes, consent, limiting collection, limiting use/disclosure/retention, accuracy, safeguards, openness, individual access, and challenging compliance.

2. Personal Information We Collect
We collect only the personal information that is necessary for the purposes identified in this Privacy Policy. The specific information we collect depends on how you interact with us and which programs or services you use.
2.1 Information You Provide Directly
When you use our Site, register for a program, create an account, or contact us, you may provide contact and identity information (full name, date of birth, gender where required, email, telephone, home address, and location); program registration information (sport, position, and level; club or school affiliation; competition history; coach references; achievements; and, for Recruitment Platform profiles, academic information); health and medical information necessary for safe participation and destination entry requirements; emergency contact information; payment information; Athlete Recruitment Platform content; and communications you send us.
Health and medical information is sensitive personal information. We collect it only to the extent necessary to keep participants safe, to comply with destination-country requirements, and to respond appropriately in a medical emergency. V Sports does not store full credit or debit card numbers on our systems; payment card data is processed directly by our PCI-DSS compliant third-party payment processor.
2.2 Information We Collect Automatically
When you visit the Site, we automatically collect technical information including IP address and approximate location, browser type and settings, operating system and device type, pages visited and navigation paths, date and time of visits, referring websites or search terms, and information collected through cookies and similar technologies (see Section 9).
2.3 Information We Collect From Third Parties
We may receive limited personal information from clubs, schools, or sport organizations that register athletes on their behalf; from coaches or program administrators who provide references; from college or university coaches confirming their institutional affiliation; and from payment processors confirming transaction status.
3. Why We Collect Your Personal Information
We collect personal information for specific, identified purposes, including: program delivery and administration; travel and international entry requirements; operating the Athlete Recruitment Platform; website operation and improvement; marketing and communications (which are optional and may be withdrawn at any time); and legal and compliance purposes. We do not collect personal information indiscriminately.
4. Consent and Legal Basis for Collection
V Sports collects, uses, and discloses personal information with your knowledge and consent, except where applicable law permits or requires collection without consent. By registering for a program, creating an account, or submitting a form, you consent to the collection, use, and disclosure of your personal information for the purposes described in this Policy. You may withdraw consent at any time, though withdrawal may affect our ability to deliver a program you are registered for.
4.1 Minor Participants
Where a participant is under 18, we require the consent of a parent or legal guardian before collecting, using, or disclosing the minor's personal information. Parents and guardians may review, update, or withdraw consent at any time by contacting our Privacy Officer.
4.2 Sensitive Personal Information
Where we collect sensitive personal information, including health and medical information, we will seek explicit consent and explain clearly why the information is needed and how it will be used before collection.
5. How We Share Personal Information
V Sports does not sell personal information to third parties. We share personal information only as necessary with program delivery partners (host clubs, competition organizers, accommodation and transportation providers, coaches, and medical or emergency services); through the Athlete Recruitment Platform with college and university coaches; with service providers who assist in operating the Site and services; where required by law; in the event of a business transfer; and with your consent.
We do not share health or medical information with program partners unless directly relevant to safe delivery or required by applicable law. We do not share athlete contact details with coaches before the athlete and family have been notified and consented, and we never share athlete financial, health, or payment information with coaches.
6. Cross-Border Transfer of Personal Information
V Sports programs are international in nature. When athletes travel to international destinations, certain personal information will be shared with organizations in countries outside Canada, including Colombia, Mexico, Japan, China, and the United States. Such information may be subject to the laws of the destination country, which may differ from Canadian privacy law. By registering for an international program, you acknowledge and consent to this cross-border sharing to the extent necessary for program delivery.
7. Retention of Personal Information
We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, to comply with legal and regulatory obligations, and to manage potential legal claims. Program, payment, and financial records are generally retained for a minimum of seven years; recruitment profiles are retained while active; marketing preferences for a minimum of three years; and website analytics for up to two years. When no longer required, information is securely destroyed, deleted, or anonymized.
8. How We Protect Your Personal Information
We implement reasonable technical, administrative, and physical safeguards, including encryption in transit (TLS), access controls and password protection, secure data storage, PCI-DSS compliant payment processing, staff training, and contractual privacy requirements for service providers. No method of transmission or storage is completely secure; if you believe your information has been compromised, contact our Privacy Officer immediately. In the event of a breach creating a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
9. Cookies and Tracking Technologies
Cookies are small text files placed on your device. We use essential, performance/analytics, preference, and (with consent) marketing cookies. You can manage or disable cookies through your browser settings, though disabling essential cookies may affect Site functionality. We may use third-party analytics such as Google Analytics; you may opt out using the Google Analytics Opt-out Browser Add-on. V Sports does not currently respond to browser “Do Not Track” signals.
10. Your Privacy Rights
Subject to applicable law, you have the right to access the personal information we hold about you; to request correction of inaccurate information; to withdraw consent; to request deletion (subject to legal retention requirements); to opt out of marketing; and to control your Athlete Recruitment Profile (deactivate, update, or delete). To exercise any of these rights, contact our Privacy Officer in writing; we will respond within 30 days or as required by applicable law, and may require you to verify your identity. You also have the right to file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.
11. Children and Minor Participants
Many of our programs are designed for youth athletes under 18. Personal information relating to a minor is collected with the consent of a parent or guardian, who may access, correct, and request deletion at any time. Minors aged 13 to 17 may create Recruitment Platform accounts with parental consent; athletes under 13 are not permitted to create accounts. We do not display the home address, phone number, or school contact details of minor athletes to coaches, and introductions are always facilitated through V Sports.
12. Third-Party Websites and Links
The Site may contain links to third-party websites. This Privacy Policy applies only to the V Sports Site and our services. We are not responsible for the privacy practices or content of third-party websites, and we encourage you to review their privacy policies.
13. Social Media and Public Content
V Sports maintains profiles on social media platforms. If you interact with them, the platform collects information under its own privacy policy. We may share photographs or footage from programs to promote our services, and will seek consent from participants or their parents or guardians before sharing identifiable images. If you do not wish your image to be used, please notify our Privacy Officer in writing.
14. Updates to This Privacy Policy
We may update this Privacy Policy from time to time. We will update the “Last Updated” date and post the revised policy on the Site. Where changes are material, we will make reasonable efforts to notify registered users and active participants before the changes take effect. Your continued use of the Site after a revised policy is posted constitutes acceptance of the updated Policy.
15. Governing Law
